Rental Policies & Agreement: Field Education Centre
Statement of Owner’s Rights
Aleza Lake Research Forest Society (ALRF) is the Owner of the Aleza Field Education Centre (referred to here as the “FEC”). If the information provided in the rental agreement is discovered to be inaccurate or misleading, the Owner reserves the right to cancel the rental without refund.
If securing rental via web payment, the Renter must agree to this “Rental Policies & Agreement” by placing a checkmark in the “Terms & Conditions” check box. Should any questions or concerns arise, the Renter is encouraged to contact an ALRF staff member right away.
ALRF Staff Authority
ALRF designated contact is the on-site authority, and his/her instructions will be adhered to by the Renter and rental group participants. ALRF reserves the sole discretion and right to rent or not rent the FEC to any individual or group.
Cancellation Policy
To secure rental of the FEC, 100% of the rental fee is required.
Cancellation 7 days from rental date:
A cancellation fee of 10% of the net booking total (pre-tax) will be applied. 90% of the booking fee is refundable.
Cancellation within 72 hours from rental date/time:
Rental fees are fully non-refundable.
Damage
ALRF does not assume liability for injuries, loss or damage to persons or property.
The Renter shall be responsible for and be liable to ALRF for any of the property or equipment damaged or destroyed via negligent acts during the Renter’s use of the FEC.
Further, beyond potential damage to the building or roads themselves, the Renter shall be responsible and be liable for any damage they cause to adjacent Crown Land or forests within ALRF, including reforestation and/or land restoration costs resulting from wildfire, off-road vehicle use, physical damage to trees and forests.
Lost or unreturned keys will result in a $100 fee, which will go towards the cost of re-keying the facility.
Designated Representative for Rentals
One designated competent and qualified adult individual must be identified as the designated Renter’s representative for all group bookings.
The Renters’ representative or contact person is responsible for the group and the rental and therefore must be on site for the duration of the booking.
Insurance
The Renter must ensure they are insured for their planned activities for the rental duration.
In paying for the rental, the Renter agrees to holding ALRF harmless from all loss, damage, or injury to any persons or property, arising from any cause or reason whatsoever. The Renter further agrees to waive all the claims against ALRF on account of any loss, damage, or injury in the use and occupancy of the FEC premises or access road. The Renter agrees to promptly reimburse ALRF for any damage done to the FEC premises or equipment, and for equipment lost or stolen by the Renter or anyone attending its activities.
ALRF assumes no responsibility for lost items.
Local Hazards
The Renter acknowledges that the FEC is located a natural ecosystem on public land in a remote area with rugged terrain and wilderness characteristics. The Renter and those under their charge are solely responsible for ensuring that they are adequately prepared and equipped to deal with the elements of these ecosystems and land conditions.
Cell phone service is not available within much of the ALRF landbase, and visitors must take this into account when preparing for activities and considering emergency preparedness.
Conditions of Use
Signs & Decorations
The Renter may not attach signs, illustrations, or displays to the FEC walls or any part of the structure with tape, pins, nails, screws, or staples, or in any manner that would damage the wood or structure in any way. If damage ensues, custodial or repair service charges will be at the cost of the Renter.
Sanitation & Cleanliness
Renters are responsible for maintaining the cleanliness of the site, and ensuring participants follow our no-trace / no-impact environmental use policy.
Please use doormats and installed boot brushes for cleaning outdoor footwear before entering the building. If necessary, remove muddy or soiled footwear at the door.
The FEC will be always maintained in a clean and tidy state during the rental period. The FEC and surrounding lands must be left in a clean state and all garbage, compost, and recyclables removed.
First Aid
An Intermediate First Aid kit and spine board are found in the building. However, it is the responsibility of the Renter to provide adequate first aid supplies, a qualified first aid attendant, and the means (including means of communication with emergency services) to transport individuals needing care to a medical facility if required.
Prohibited Items & Activities
1. The use of candles or any other open flame device is prohibited at all times.
2. No corked or cleated footwear may be worn in the building or on wooden stairs or decks.
3. Please do not cook with an open grill in the FEC; use the outdoor spaces provided. Other indoor food preparation is permitted.
Conduct & Supervision
The FEC is a family-friendly facility. ALRF staff are not responsible for the direct supervision of any user group renting the facility, regardless of group composition. There must be an adult with a minimum age of 25 years always present.
No Smoking
Absolutely no smoking is permitted within 50 metres of the building or on the decks. Please smoke only in designated areas away from any flammable materials, forest cover, and vegetation, and dispose of smoking materials in designated containers.
Alcohol
Use and consumption of alcohol shall be consistent with provincial legislation and regulations. Alcoholic beverages will not be permitted in any part of the premises unless use is approved, and a liquor permit is obtained.
Eviction
ALRF reserves the right to terminate any rental, without refund or credit, if the Renter and guests are a hazard to the safety of themselves or others, or violates the rules as indicated in this agreement.
Fire & Fire Hazards
The FEC is located on public land and all ALRF and Renter activities will comply with provincial Wildfire Act provisions and regulations including seasonal campfire bans and restrictions. Outdoor fires will occur within the designated fire pit and will not exceed 1 metre in diameter. Please conserve firewood and do not burn excessive firewood beyond basic needs.
